2. Data collected
2.1 Contractual data
When you subscribe to a service or request a service delivery, we collect the information required to fulfill and invoice your order, including:

- First and last name
- Business address
- Business email
- Business phone number
Other information may be collected on an optional basis:
- Company registration number
- Business activity code

2.2 Billing data
We collect the information required to process transactions, including:

- Bank details (IBAN) for SEPA direct debits
- Intra-community VAT number where applicable

When you use our Artificial Intelligence features for automatic corrections, analyses, and multilingual summaries of reports or files, the submitted text data is processed temporarily by our AI algorithms. This data is used solely to provide the requested service and is not kept longer than necessary to perform the task.
3. Hosting and data security
Data is stored on Microsoft Azure and hosted exclusively in Europe (geo-replication to Dublin).
Microsoft Azure is certified compliant with:
- GDPR
- ISO 27001 and ISO 27018
- HIPAA
- FedRAMP
- SOC 1 and SOC 2
- PCI DSS
Backups are performed daily with a retention period of 1 to 7 days depending on the service and volume.
4. Use of data
4.1 Purposes of processing
Softena uses your personal data to:
- Process your orders
- Facilitate the creation and securing of your account on the Oskala Cloud
- Provide you with the requested services
- Identify you as a user, detect fraud, and perform authentication
- Improve quality and user experience
- Send you administrative notifications (security, support, maintenance)
- Answer your questions and requests
- Send you newsletters, surveys, and promotional communications related to our services (subject to your consent)
4.2 Product information
So that you can take full advantage of our products, we send you:

These communications are sent by email, through the user interface of your Customer Area, and occasionally by phone.
4.3 Legal basis for processing
We process your data on the following legal bases:
- Performance of the contract: to provide you with the services you have subscribed to

- Legal obligation: to comply with our legal and tax obligations

- Content data: for the duration of your subscription, then 45 days after termination (unless otherwise required by law)

The personal data collected is intended for the people in charge of information processing within Softena.
6.2 With our partners and processors
Softena does not use advertising and does not resell, assign, transfer, or share data with third parties for commercial purposes.
However, for some of our products that require the involvement of partner companies, or when we act as an intermediary, it may be necessary to share some of your data with third parties, in particular:

Our main technical processors are:
- Microsoft Azure: data hosting (European Union)
- Twilio SendGrid: sending of transactional emails (notifications, website forms)
- Google reCAPTCHA: protection of forms against automated submissions
- Google Analytics: website audience measurement, enabled only with your consent
These partners are bound by strict contractual obligations and only have access to the data necessary to perform their services.
